Job Requirements:

To be successful in this role you must have:

Education and experience:

  • University degree in business and management, or any relevant degree.


  • English, and Arabic fluency in both writing and speaking is compulsory.

Experience and technical competencies:

  • 2 years’ experience working for an NGO – Experience in HR field.
  • Very good analytical skills.
  • Computer skills (Word, Excel, Power point, Outlook).
  • Experience with HR database will be asset.

We offer

The organization will offer the successful applicant a contract until 30th June 2022, renewable dependent on both funding and performance.

and be willing and able to work in AL Hassakeh.

Salary and conditions will be according to salary grid. Minimum 989 USD/month + (allowances).

Job Description:

  1. Recruitment
  • Ensure that the Recruitment process is respected (HR Request, JD, Vacancy Announcement, selection, interview, test …etc.);
  • Upon reception of the HR request, ensure that it is validated and establish with the hiring manager the schedule of the recruitment
  • Advertise positions with respect of the organization formats and Job description’s requirements

Longlist the received application following the skills required by the position and share with hiring manager for shortlisting and final selection

  • Schedule and organize tests and interviews
  • Ensure good sequence of interview and tests
  • Animate the decision committee and support the team with relevant point of view to ensure the best recruitment
  • Make suggestions for improvement of recruitment process in order to ensure its fairness and efficiency
  • Promote recruitment of person with disabilities and females as much as possible
  • Check references of the final candidate before sending the job offer.
  • After acceptation, prepare contract and administrative file,
  • Ensure that the induction briefing has planned for the new employees;
  • Participate in the briefing/induction of the newly recruited staff
  1. Contracts
  • Ensure that all staff is providing the required documents to the organization
  • Issue all contracts and follow-up approval and signature process
  • Ensure that all employee read and sign their work contract, Job Description (JD), Terms and Conditions Of Engagement (TCE), Code of Conduct, Child protection, conflict of interest and PSEAH policies,
  • Prepare End of account statements, contract termination letters and conduct Exit meetings.
  • Follow-up contract expirations in order to anticipate each renewal of contract or to inform the employee on time
  • Keep her/himself informed and advises the Hub HR Manager regarding Syrian rules and labor laws.
  1. Evaluations
  • Update the HR database and personal files according to the Latest Evaluation Update (Appraisal, contract Amendment, promotion etc.);
  • Organize and support Appraisals process in their area;
  • Update the Hub HR Manager in case of abuses, processes not respected or understood and TCEs not followed;
  1. Payroll Management Raqqa : review only
  2. Attendance Sheet and Leaves
  • Implement and follow up attendance sheets: disseminate to the team and file for payroll
  • Validate and Follow up leave requests; according to the approvals and the Balance of Leaves
  1. Salaries Calculations
  • Supervise and validate the update of the HR database.

employee data management

  • Responsible for the filing of all recruitment documents
  • Collect and file electronically all documents of the newly recruited staff (ID, Certificates, Personal photo, Employee data sheet, policies …etc.)
  • Updating the personal folders of national employees (Attendance sheet, Leave request, appraisal, contract, pay slips … etc.).
  • Update the Employee ID cards sheet
  • Updating the organigram with the new staff recruited with the Hub HR manager
  • Update the contact list and share it with HR and Travel Officer
  1. Staff follow-up
  • Update the HR database and personal files with all information necessary correctly.
  • Ensure relevant follow-up of each key staff and anticipate resignations or any other kind of problem
  • Give answers to employees about the organization policy, salary package, etc. and inform line management about any major issue
  • Ensure regular field visits to conduct interviews and train employees on HR procedures
  • Ensure good relationships with bases/ field offices and that all information is properly disseminated;
  1. Training
  • Centralize all the requests for trainings;
  • In collaboration with Hub HR manager and Training focal point, suggesting good appropriate external/Internal trainings/trainers for employees;
  • Liaise between the organization and external trainers in their area
