The Operations Officer is a member of the Syria Response team and is responsible for supporting the Operations Manager in;
- Ensuring smooth movements of the organization’s staff, consultants, visitors, hostess and the organization’s partners following the outlined procedures in the organization’s Fleet Management Manual.
- Smooth movements for Program Commodities inside the region and targeted areas.
- Smooth support to Operations Manager for managing the stock flow and Warehousing (stock counts, incoming stocks, outcome stock following the outlined procedures in the organization’s Warehousing Manual.
- Ensuring effective asset management and maintaining accurate documentation in accordance with the Field Fleet Management Policy.
- Managing facilities & office management functions in the duty station as per Field Facilities Office Management Policy.
The Operations Officer will work closely with Operations Manager, Procurement, Programs teams of the organization.
- Responsible for managing the entire fleet, overseeing, coordinating, and facilitating various transportation and related activities.
- Coordinating staff movements using the shuttle system tool, and managing the distribution of trips and vehicle allocation.
- Collaborate with the Operations Manager to assess fleet capacity as needed, and communicate any related concerns to fleet management.
- Handling the responsibilities of the Asset Controller as assigned by the Operations Manager.
- Responsible for receiving, recording and issuing assets and their supporting documentation as well as disposing of the assets.
- Responsible for facilitating physical verification of assets (i.e. fiscal year end, grants end and random verifications) in coordination with Operation Manager and Head of Finance.
- Ensure that the organization’s premises are well-maintained and equipped with the necessary items in both offices and guest houses.
- Responsible for requesting and closing the cash advances.
- Keep all related payments for Operations activities up to date and update the payment tracker, including but not limited to driver payments, lease payments, internet, and other operation-related payments.
- Ensure the generators are operating efficiently, closely monitor regular checks and maintenance with the handyman, and manage all necessary repairs.
- Create and sustain a work environment of mutual respect where team members strive to achieve excellence.
- Supervise, orient new team members as necessary.
- Provide team members with information, tools and other resources to improve performance and reach objectives.
- In liaison with Operations Manager, facilitate the movement of goods/ commodities for programs.
- Promptly process service and goods purchase requests for the respective office in coordination with procurement.
- Manage the fleet and the movements and ensure the travels for national and international of the organization or official visitors as per the movement plans.
- Must have a clear understanding on all the organization’s policies and operation requirements.
- Any coordination required with multiple stakeholders (internal/ external) for commodities movement for and to warehouse.
- Assist in purchasing items required for office operation in respective in coordination with procurement.
- Receive and certify all purchases made by the organization in the field office for operation use.
- Document all Logistics procedures and keep file copies of all documentation.
- Responsible for Fleet management and reporting.
- Responsible for Warehouse management and reporting.
- Responsible for Assets and Inventory management and reporting.
- Responsible for Admin, Facilities management and facility contracts for the organization’s offices, GHs, and Warehouses.
- Maintain a clear record of all leases.
- Make sure to submit all the Operations reports in a timely manner.
- Assist in operation utility bills like water and power bills.
- Manage the transportation of goods/supplies in the organization’s operational areas and to beneficiaries.
- Ensure that commodities stored in the warehouse/storage are safe and in good condition.
- Contributes to team effort by accomplishing related results as needed.
Security
- Ensure compliance with security procedures and policies as determined by country leadership.
- Proactively ensure that team members operate in a secure environment and are aware of policies.
Supervisory Responsibility
Supervisory roles for Cleaners and Handyman.
Accountability
Reports Directly to: Operations Manager.
Works Directly with: Operations, Programs, HR, and Finance staff.
