The Procurement Assistant works to support the operations and programming in the Al-Hasakah base, including procurement, administrative duties, and support of daily base operations. The position reports to the Senior Procurement Officer.
• Provide support to program managers for procurement needs, ensuring compliance with policies and proper documentation.
• Assist in communicating with vendors, addressing issues, and maintaining positive relationships to support procurement processes.
• Collect quotations from local suppliers, update supplier records, and monitor market prices as directed.
• Assist in preparing procurement documents, including RFQs, purchase orders, payment forms, and procurement packages, ensuring accuracy under supervision.
• Help coordinate monthly vendor payments by preparing necessary documentation and supporting the finance team in resolving discrepancies.
• Update procurement tracking systems and provide status information to the supervisor as needed.
• Ensure materials and services meet specified quality and cost requirements under the guidance of the supervisor.
• Conduct basic market surveys to gather pricing information and ensure cost efficiency.
• Provide support for procurement tasks during emergency responses as directed by the supervisor.
• Perform additional duties and responsibilities as assigned.

Education / Experience Needed
▪ Experience working with an NGO is preferred.
▪ Field experience and knowledge of the region is a strong asset.
▪ Experience working with diverse cultures.
▪ Two (2) years of related experience and training, or an equivalent combination of education and experience is preferred.
▪ Experience in Excel and computer skills.

REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.
