Job Purpose

The MIS Assistant has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). The MIS Assistant has the obligation to complete all mandatory trainings related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organisational policies or codes of conduct according to Acted’s procedures. The MIS Assistant carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers. 

The MIS Assistant is responsible for maintaining and upgrading the central and project-specific databases, conducting data analysis, and supporting the implementation of various database tools and strategies.

Objectives

1. Review and maintain appropriate databases for all projects, in line with ACTED MEAL guidelines.

2. Provide accurate, reliable and insightful data analysis as required.

Duties and Responsibilities

 

  1. Database Management System Implementation

  2. Maintain the country’s central and project-specific databases;

  3. Ensure all data is entered and updated in the databases and tables;

  4. Coordinate with Project Managers to receive databases per agreed schedule, ensuring that data is collected in a timely and accurate manner according to the reporting and monitoring requirements;

  5. Check the quality of the data submitted by field staff;

  6. Liaise with field staff regarding missing data, eventual mistakes, data discrepancies and/or inconsistencies;

  7. Perform “clean data” when needed;

  8. Ensure proper filing of soft copies of databases of beneficiaries or other data collection tools or documents; 

  9. Maintain and further develop the structure or format of the databases as required;

  10. Implement proper backup, restore, data validation, and security procedures to ensure data integrity and availability;

  11. Maintain a database tracker detailing all databases stored on the server;

 

  1. Data Analysis

  2. Extract queries, figures, and reports from the database;

  3. Generate data visualization such as charts, graphs, tables to be included in communication tools, reports, assessments and any other documents as per needs;

  4. In collaboration with other AME staff, provide data analysis of projects’ activities and assessment data;

  5. Support the improvements of the data collection tools and processes and pilot new ideas with teams in the field.

  2. Provide regular and timely updates on progress and challenges to supervisors and other team members;

  3. Participate in database-related workshops and meetings as required;

  4. Perform any other related activities as assigned by immediate supervisor.

 

Key Performance Indicators

 

  • Database Management System (DBMS) in place and functional 

  • Number of databases reviewed during past 6 months

  • % of ongoing projects with project specific databases developed

  • Average time needed to fulfil database service requests

  • % of fields that have missing or incorrect data

 

QUALIFICATIONS

 

Required:  

  • Bachelor’s degree or higher in IT in general more specific “CS – Computer Science, IT – information technology “

  • Excellent technical skills in MS (excel and word) and Power BI

  • Fluent in English Language

  • Fluent in Arabic

  • Ability to travel between NES areas

  • At least 1 year of experience in a related field within an NGO or INGO

  • Excellent problem-solving skills.

  • The ability to explain problems and solutions clearly to non-technical users.

  • Flexibility and adaptability are essential, as well as the ability to plan, take initiative and organise work independently. In addition, impartiality, objectivity and confidentiality are essential.

  • Willingness to learn and capacity to innovate.

  • Good organisational, communication and management skills with international and national staff.

Desired: 

  • Command of at least one major database technology (for example Access, SQL) is preferred.

  • At least 1 year of experience working with large data management is preferred.

  • At least 2 years of experience in a related field within an NGO or INGOs is preferred
