Ensure proper storage, stock management and supply processes, as well as hygiene and Security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to organization protocols and in cooperation with the logistics department. 

Order reception:

Check quantities and quality of the received items, Report for any discrepancy 

Prepare an acknowledgement of receipt for logistics departement 

Incoporate/add all the items into physical stock

Fill in the stock cards for all the items as the electronic file 

Order preparation:

Prepare and distribute the drugs according the field requests and projects needs

Check the rationality of the requests based on average monthly consumption and morbidity trends.

Organize timely delivery of medicines and medical supplies to health facilities

Update the stock cards and the electronic file according to the stock movements

Provide feedback to  medical manager/pharma manager  in case of any problem with the orders

Update stock files and inform Medical manager/ Pharma Manager on their statuts (shortfalls, over-stocking, expiry dates, damaged,), in order to permanently ensure buffer stock levels and ensure efficient management of stock. 

Support Pharma Manager/ Medical Manager with the prepartation of the international & local orders 

Ensure the preparation of the Medical Donations Certificates when applicable.

Ensure the proper recording all items received and issued in  Stock card and Sagastock and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalise the budget and to ensure availability. 

Supervise the supply of drugs to PHCs, informing them on consumption patterns.

Maintain record of partners/health facilities need requests to analyze monthly needs and trends

Ensure that updated stock and consumption records can be provided upon request for any reporting

Assist in development and implementation of drug consumption tools in supported health facilities

Monitor the drug consumption by establishing/maintaining mechanisms of consumption record and inform medical manager/Pharma Manager in case of any unusual consumption

Ensure technical support and Supervision of pharmacist, pharmacy assistants in the PHCs

Evaluate the competency of the pharma team in PHCs and build their capacity accordingly with the support and guidance of the Medical Manager / Pharma-manager

Organize  Monthly staff meetings for the pharma team.in PHCs

Participate in the recruitment process of the pharmacist assistants and pharmacist of the partners.

Report any HR issues to the Medical Manager / Medical Supervisor / Pharma manager

Identify the training needs of the pharma teams in the PHCs, conduct trainings, follow up and evaluations.

Conduct regular on job training and supportive supervision of the PHCs Pharmacy staff..

Provide weekly update to the team during program meetings.

Submit monthly report in terms of detailed items (shipments, consumption) to the Medical manager/ Pharma manager.

Work closely with Pharma-manager and Medical Manager /Supervisor to maintain a global record of shipments and consumptions.

Prepare weekly consumption and update the monthly consumption data base and share them with the medical team

Keep organization team informed on any issues related to logistics and/or pharmacy.

Report any security related issues to the Field -Manager / Medical Manager / Pharma-manager 

Support operational organization of field trips and organization programs/activities.

Translate verbally and by written when necessary.

Participate in internal meetings.

Any other related organization tasks as assigned by functional and /or line manager.
